There is a single non-data, non-critical file missing from the 2002 CWS upgrade CD. To address the issue CWS has shipped replacement CD's. If there is a need to run the year end before your receive the new CD, Feel free to install the upgrade you have in your possesion and call before you run MOM. We will then send the missing files via modem.
In the furthest reaches of northeast California resides the lone rural city of Alturas (also a CWS client) the county seat of Modoc county and home of CWS's newest client, the Modoc Indian Health Project. The MIHP became a reality in 1981 as a tax exempt Tribal organization purposed to receive and administer public and donated funds providing health, educational, social service and counseling programs to the local Indian population. It is comprised of two tribes: the Alturas and Cedarville Rancherias. Of note, according to Susan Hegstad fiscal manager, the MIHP is one of only two indian health programs which provides their services solely as a contract provider. Through private arrangements with local health care providers and pharmacys, the MIHP is capable of providing superior care without the added overhead of operating their own clinic.
According to Susan, a Cal Berkeley graduate who came to work at the MIHP in May of 1988, as the number of MIHP clients grew, (currently 153 active and over 400 total), the need to progress to software based fund accounting package became apparent. After researching several competing packages, it was the flexibility of the MOM software Tribal Roll module which is totally integrated with General Ledger and the Accounts Payable module which tilted the decision in CWS direction. The CWS Year 2002 CD have been shipped to our clients this week.
The update will include new tax tables and changes to the 1099 and W2 reporting. This year due to extensive changes in the double wide W2 forms and electronic filing requirements, CWS had to do an extensive rewrite of the programs.
Release notes discussing changes in this years release will be on the installation CD and can also be viewed or downloaded at the momsoftware web site
As always, it is advised that clients complete a thorough and complete backup of their systems before the installation of any software update. The backup procedure is a mandatory safeguard for the installation of all software upgrades.
Be certain that everyone is logged off of the MOM system and allow enough time to complete the installation procedure.
Daily Time Entry Screen
Payroll Option Now available.
The CWS MOM Daily Time Entry Screen, a new optional feature for payroll (SP) clients is being announced.
A detailed Power Point presentation example showing how this new feature works to accommodate daily time entry, (as opposed to pay period time entry), is now available to view at the CWS web site.

We're welcoming a new programmer into our fold, Sean Hulbert a native of Vista California has brought his many talents to CWS. Sean has studied networking extensively and recently taught a class on the subject at Silicon Valley College. Join all of us in welcoming Sean to CWS.
We're also welcoming Greg Smith who has an accounting background and is a native Californian. He is being instructed as a trainer and customer service. He and his wife Olga make their home in Walnut Creek. His hobbies includes woodworking and anything that involves powertools.

New Clients
The most recent additions to the list of CWS clients are the Santa Rosa Rancheria, the Modoc Indian Health Project and the Habematolel Pomo of Upper Lake California.

With some modification to the Tribal Roll Module MIHP is able to individually track their Community Health Representatives services to individual clients. The CHR's primary purpose is to transport clients to medical/dental appointments, home visits and assisting our elderly clients. "We track all of their activities by client, diagnosis code and whether they are transported or not with an added comment section". This data will be added to a custom screen in the Tribal Roll module created by the CWS installer Doug Chasar who completed installation just last week.
Susan believes another area in which the CWS' flexible system will allow MIHP to improve their accounting procedures will be integration with the Federal Indian Health Service (I.H.S.) reporting requirements. "The (IHS) medical software is called Resource Patient Management System (RPMS). It is through this system MIHP issues medical, dental and prescription purchase orders, this allows the I.H.S. to track our data. A custom import and export feature will prevent us from having to input these items more then once".
"If all goes well, it would appear that I will be able to pay bills, generate financial statements, and maintain the required data on all of MIHP's clients with only one software...MOM !!!!!! This includes using the Tribal Roll Module for our Patient Registration (this is what RPMS calls it) and thereby, with the help of CWS' expert staff, maintain all patient/client medical data!"
It's obvious that teaming with CWS was just the thing that will help carry the the Modoc Indian Health Project into a more productive future.
The Latest on Whats Going on at C.W.S.
Are your vendor files ready for 1099s? In PY, there is a report you can run showing the vendor ID, vendor name, their 1099 flag with their federal ID number and the total amount paid for the year in the "ALL PY-PH" column. From this report you can determine which vendors need to be flagged for 1099s or which vendors are missing their federal ID number. To produce this report, go to PY-TN-TF and type in 'P' to proceed. This will print your listing. The TF screen has many other functions such as resetting the 1099 file for the year or replacing the 1099 file with dollar amounts found in the payables detail history file. This is a very useful application if you are just now flagging your vendors for 1099s.
